Assigning a Fee Structure to a Class

Attach your fee structures to specific classes and terms, choose which components apply, and override amounts where needed.

Overview

Once you have created your fee structures, the next step is to assign them to each class for a specific academic term. This tells SkoolWisely exactly which fees to invoice students in that class for that term.

Before you begin: Make sure you have already created at least one fee structure under Finance → Fee Structure. See Setting Up Fee Structures if you have not done this yet.

Step 1: Go to Fee Assignment

From the sidebar, navigate to Finance → Fee Assignment. You will see a list of all your school's classes. Click the view icon (👁) next to the class you want to assign fees to.

Step 2: Open the Assignment Modal

On the class fee assignment page, click the Assign Fee Structure button. A two-step modal will appear.

Step 3 (Modal Step 1) — Choose Fee Structures and Academic Term

In the first step of the modal, you will see:

  • Academic Year selector — choose the term you are assigning fees for (e.g. 2025/2026 | 3rd Term). The current active term is pre-selected.
  • Available Fee Structures — a list of all fee structures you have created. Each card shows the structure name, description, total amount, frequency, and number of components. Tick the checkbox on each structure you want to assign to this class. You can select more than one.

Once you have selected your structures, click Next: Select Components.

You will see an error if you try to proceed without selecting at least one fee structure.

Step 4 (Modal Step 2) — Select Components and Override Amounts

The second step shows a detailed breakdown of every component inside each selected fee structure. For each component you can:

If you leave the override field blank, the default amount defined on the fee structure is used. The override only affects this class for this term — it does not change the original fee structure.

To go back and change your structure selection, click ← Back to structure selection at the bottom of the form.

Step 5: Confirm the Assignment

When you are happy with your selection, click Confirm Assignment. SkoolWisely will save the fee assignment for this class and term. The modal will close and you will see the assigned structure appear in the table on the page.

Done! Your class now has fees assigned for the selected term. When invoices are generated for this class, SkoolWisely will use these components and amounts to calculate each student's invoice.

Deleting an Assignment

On the class fee assignment page, click the delete icon next to an assigned structure to remove it.

Important: Once invoices have been generated for a class and term, the fee assignment is locked and cannot be deleted. You will see the message: "This assignment cannot be deleted because invoices have already been generated for this term. Void the invoices first if you need to make changes."

If you genuinely need to change the fees after invoices have been generated, you must void all existing invoices for that class and term first, then delete the assignment and reassign.

Common Questions

Can I assign more than one fee structure to the same class?
Yes. You can assign multiple structures to the same class in one go by ticking more than one checkbox in Step 3 of the modal. This is useful if, for example, you have a Base School Fees structure and a separate Boarding Fees structure for boarding students.

Can I use the same fee structure for multiple classes?
Yes. A fee structure is a reusable template. Assign it to as many classes as you like. Each class assignment is independent — overrides in one class do not affect another.

Can I change the term after assigning?
No. The academic term is part of the assignment record. To assign to a different term, create a new assignment for that term.

What happens if I do not assign fees to a class?
Students in that class will not have invoices generated for the term. Always ensure every class has a fee assignment before running invoice generation.
