Define fee templates and assign them to classes — a two-step process that keeps your fee setup flexible and reusable.

Overview

Setting up fees in SkoolWisely is a two-step process:

  1. Create a Fee Structure — define the fee template and its components (e.g. Tuition, Development Levy, PTA)
  2. Assign the Fee Structure to a Class — attach the structure to a specific class for a specific term, choosing which components apply and optionally overriding amounts

This separation means you can reuse the same fee structure across multiple classes and terms without redefining it each time.

Tip: Complete Part 1 fully before moving to Part 2. You cannot assign a fee structure to a class until at least one structure exists.

Creating a Fee Structure

Step 1: Go to Fee Structures

From the sidebar, navigate to Finance → Fee Structure. You will see a list of all existing fee structures. If you are setting up for the first time, this list will be empty.

Click the Create button in the top-right corner to open the fee structure form.

Step 2: Fill in the Fee Structure Details

Step 3: Add Fee Components

Fee components are the individual line items that make up the total fee. For example, a single structure called JSS School Fees might have these components:

  • Tuition — ₦30,000
  • Development Levy — ₦5,000
  • PTA Dues — ₦2,000
  • Exam Fee — ₦3,000

For each component, enter:

Amount The default amount for this component in Naira

Click Add Component to add as many line items as needed. You can remove a component by clicking the delete icon next to it.

Step 4: Add Billing Rules (Optional)

Each fee component can have conditional billing rules attached to it. Rules allow you to automatically adjust or skip a fee for certain students based on specific criteria. Available rule types are:

Family — Sibling Discount Applies a percentage discount for a specific sibling (youngest or eldest) when multiple children from the same family are enrolled 10% discount on tuition for the youngest sibling
Note: Family — Pay Once and Family — Sibling Discount are mutually exclusive. You can only apply one of them to a single fee component.

Step 5: Save the Fee Structure

Once you have added all components and any applicable rules, click Save Fee Structure. The structure will now appear in your fee structures list with a summary of its components and total amount.

Good to know: A fee structure can be reused across different classes and different terms. You do not need to create a separate structure for each class — just assign the same structure to multiple classes in Part 2.
