Connect each student to their parent or guardian so invoices and reminders reach the right person.

Why Linking Guardians is Important

SkoolWisely sends fee invoices, payment receipts, and automated reminders directly to parents and guardians. For this to work, each student must be linked to at least one guardian with a valid phone number or email address.

Linking a Guardian to a Student

  1. Go to Student Management and open the student's profile.
  2. Scroll to the Guardian Information section.
  3. Click "Add Guardian".
  4. Enter the guardian's details:
    • Full Name
    • Relationship (e.g., Father, Mother, Uncle)
    • Phone Number — for SMS notifications
    • Email Address — for email invoices and receipts
  5. Click "Save Guardian".
Once a guardian is linked, they will automatically receive fee invoices and payment reminders for the current term — no further setup needed.

Adding Multiple Guardians

A student can have more than one guardian linked (e.g., both parents). Repeat the steps above to add additional guardians. You can designate one as the Primary Guardian — this person receives all communications by default.

One Guardian, Multiple Children

If a parent has more than one child in your school, you can link the same guardian to multiple students. When adding a guardian, search by phone number first — if the guardian already exists in the system, select them rather than creating a duplicate.

Updating Guardian Contact Details

  1. Open the student's profile.
  2. Under Guardian Information, click "Edit" next to the guardian's name.
  3. Update the phone number or email address.
  4. Click "Save Changes".
Always keep guardian contact details up to date. Outdated phone numbers mean missed payment reminders, which can lead to late fee payments.

Removing a Guardian

If a guardian is no longer responsible for a student (e.g., change of custody), you can remove them from the student's profile:

  1. Open the student's profile.
  2. Under Guardian Information, click "Remove" next to the guardian's name.
  3. Confirm the removal.

The guardian will no longer receive any notifications for that student.
