Manage students who are leaving your school — either by transfer or graduation.

Overview

When a student leaves your school — either by transferring to another school or by graduating — their record should be properly closed in SkoolWisely. This ensures they are removed from active class lists, no further invoices are generated for them, and their full payment history is preserved for your records.

Transferring a Student Out

Use this option when a student is leaving to enrol in another school mid-session.

  1. Go to Student Management and open the student's profile.
  2. Click "More Options""Transfer Student".
  3. Enter the transfer details:
    • Transfer Date
    • Reason for Transfer (optional)
    • Destination School (optional)
  4. Click "Confirm Transfer".
Transferring a student will settle any outstanding invoices to the transfer date. A final statement of account can be printed for the guardian from the student's profile.

Graduating Students

At the end of the academic session, final-year students (e.g., SS 3, Primary 6) should be graduated rather than promoted. You can do this individually or in bulk.

Graduating a Single Student

  1. Open the student's profile.
  2. Click "More Options""Graduate Student".
  3. Confirm the graduation.

Graduating an Entire Class in Bulk

  1. Go to Student Management → Promote Students.
  2. In the class mapping, set the final-year class (e.g., SS 3) to "Graduate" instead of a next class.
  3. Click "Promote All Students".
  4. All students in that class will be graduated automatically.

What Happens After Transfer or Graduation

  • The student is removed from all active class lists
  • No new invoices will be generated for them
  • All payment history remains accessible under Student Management → Archived Students
  • Guardians stop receiving fee reminders for the student

Printing a Student's Payment History

Before a student leaves, you may want to print their full payment record for the guardian. From the student's profile, click "Print Statement" to generate a PDF showing all invoices and payments made during their time at your school.

Reactivating a Student

If a transferred or graduated student returns to your school, you can reactivate their profile rather than creating a new one:

  1. Go to Student Management → Archived Students.
  2. Search for the student.
  3. Click "Reactivate" and assign them to a class.
Reactivating a student restores their full payment history, so you have a complete record from day one.
