Assigning Students to Classes

Organise your students into classes so fees and invoices are applied correctly.'

Why Class Assignment Matters

In SkoolWisely, fee structures are linked to classes. When you assign a student to a class, the system automatically applies the correct fee amounts to that student's invoices. Getting class assignments right is therefore essential for accurate billing.

Before assigning students, make sure all your classes have been created under Settings → Classes and that fee structures have been set for each class.

Assigning a Class When Adding a Student

The simplest way is to assign the class when first adding the student. During the "Add Student" form, select the appropriate class from the Class dropdown. See Adding a Single Student for details.

Changing a Student's Class

To move a student to a different class (e.g., at the start of a new academic session):

  1. Go to Student Management and open the student's profile.
  2. Click "Edit".
  3. Select the new class from the Class dropdown.
  4. Click "Save Changes".

From the next invoice cycle, the student's fees will reflect the new class's fee structure.

Promoting All Students at Once (New Session)

At the start of a new academic session, you can promote your entire school in bulk instead of editing each student individually:

  1. Go to Student Management → Promote Students.
  2. Select the current session and the new session.
  3. SkoolWisely will show a mapping of current classes to their next class (e.g., JSS 1 → JSS 2).
  4. Review and adjust the mapping if needed.
  5. Click "Promote All Students".
Tip: Final-year students (e.g., SS 3) will be flagged for graduation rather than promotion. See Transferring & Graduating Students for more.

Viewing Students by Class

To see all students in a specific class, go to Student Management and use the "Filter by Class" dropdown. This is useful for confirming class assignments before generating invoices.
